miniDentist — Privacy Policy

miniDentist ("miniDentist," "we," "us," or "our") provides a dental symptom screening tool. This Privacy Policy explains what information we do and do not collect when you use our website and screening tool (the "Service"). Please read it alongside our Terms of Service.
1. The short version
The screening tool does not ask you to enter any personal information to get your result.
Any contact details (name, phone, email) appear only as blank fields on the PDF that you fill in yourself, on your own device. We do not receive or store what you write there.
If you choose to share or email your result, that happens through your own device and your own email or messaging app. We do not send it for you and do not receive a copy.
Dental offices can reach us through a separate, optional contact form on our "For Dental Offices" page. That form is not part of the screening tool, and it does collect the business contact details an office chooses to provide. See Section 6.
We are not a dental or medical provider. See the disclaimer at the end.
2. Information we do NOT collect through the screening tool
Using the screening questions and generating your PDF does not require you to provide your name, contact information, or any health information to us. Your answers are processed in your own web browser to produce your result.
This section describes the screening tool. Information that dental offices choose to submit through our separate office contact form is described in Section 6.
3. Information we may collect automatically
Like most websites, we may collect limited technical information automatically, such as your browser type, device type, general location (country/region), and pages viewed. This may be collected through standard analytics tools (for example, a third-party web analytics service). This information is used only to understand overall usage and improve the Service, and is not used to identify you personally.
Cookies: We may use cookies or similar technologies for basic site function and analytics. You can disable cookies in your browser settings.
4. How we use artificial intelligence, and the text you type
miniDentist uses artificial intelligence ("AI") in two ways:
To help interpret and present your screening. Your yes/no answers are handled by a fixed, dentist-authored decision process. AI assists by helping interpret certain answers and by summarizing your result in plain language. AI does not make the underlying clinical decisions.
To generate an optional response you request. At a few points you may choose to type a short free-text description — for example, to describe your concern at the start, to add more detail at the end, or to explain an answer you are unsure about. If you do, the text you type is sent to a third-party AI provider to generate a response.
Important:
Do not include personal or identifying information (such as your name, address, phone, or email) in any free-text box. You will see a caution to this effect near these boxes.
AI-generated content may contain errors and is not professional advice.
We do not use the text you type to identify you, and we do not attach it to your name or contact details (which we never collect).
5. Your PDF result and how it is shared
Your PDF is generated on your device. The contact fields on it are blank for you to complete by hand or on your device. If you email, message, download, or hand your PDF to a dental office, you control that — the information travels from your device, and we do not receive, store, or transmit it.
6. Information dental offices submit to us
Separately from the screening tool, dental offices can contact us through an optional form on our "For Dental Offices" page. This form is not part of the screening tool and is intended for business inquiries from dental practices — not for people using the screener.
If a dental office chooses to submit this form, we collect the information they enter: practice name, contact name, and email address, and optionally a phone number, city or ZIP, and a short free-text message. This information is submitted voluntarily and is business contact information, not health information.
How it is handled. Submissions are processed and stored by our third-party form and hosting provider and sent to us by email so that we can respond.
How we use it. We use it only to respond to the inquiry and to communicate about a possible business relationship (for example, participation in our referral network).
Not AI-processed. Unlike the screening tool's free-text boxes, the message box on this form is not sent to an AI provider. It is simply stored and emailed to us.
Please do not include patient information. This form is for a dental office's own business contact details. Do not enter any patient names, patient health details, or other personal information about third parties.
Marketing choices. If we email a dental office, they may opt out of non-essential or promotional messages at any time by contacting us or using any unsubscribe option we provide.
Retention. We keep these submissions for as long as we reasonably need them to respond and to manage our relationship with the office. A dental office may ask us to access or delete the information it submitted (see Section 9).
Security. We use reasonable measures to protect the information we hold. However, no method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.
7. Children's privacy
The Service is intended for adults only. You must be at least 18 years old to use the Service, and it is not intended for anyone under 18. We do not knowingly collect personal information from children.
8. Third-party links
Our Service may link to dental offices or other third-party websites. We are not responsible for the privacy practices of those sites. Review their policies separately.
9. Your choices and rights
Because we do not collect personal information that identifies you through the screening tool, there is generally no personal profile from the screener for us to access, correct, or delete. If you submitted our dental-office contact form, we do hold the business contact information you provided, and you may contact us to access or delete it. Depending on where you live (for example, California under the CCPA/CPRA, or the EU/UK under the GDPR), you may have rights regarding any data we process. To ask a question about your data, contact us at the address below.
10. Changes to this Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top shows when it last changed. Continued use of the Service after changes means you accept the updated Policy.

Welcome to miniDentist. These Terms of Service ("Terms") govern your use of the miniDentist website and dental symptom screening tool (the "Service"), operated by miniDentist Inc. ("miniDentist," "we," "us," or "our"). By using the Service, you agree to these Terms. If you do not agree, do not use the Service.
Please read Section 12 (Arbitration and Class-Action Waiver) carefully. It requires most disputes to be resolved by individual arbitration and limits the remedies available to you.

1. What miniDentist is (and is not)
miniDentist is an educational and screening tool that uses yes/no questions and/or artificial intelligence to produce a summary you can share with a dental professional.
miniDentist is not a dental or medical provider. Using the Service does not create a dentist–patient or doctor–patient relationship. The Service does not provide diagnosis or treatment and is not a substitute for professional dental or medical care.
2. No professional advice; your responsibility
The information and any content generated with the assistance of artificial intelligence provided by the Service is for general informational purposes only and may contain errors. You are responsible for your own health decisions. Always consult a qualified dentist or physician for advice about your specific situation. If you rely on any content from the Service, you do so at your own risk.
Limits of the screener. miniDentist asks a limited set of questions and can produce incomplete or incorrect results, including false negatives. It does not examine you and does not detect or rule out any specific condition — including serious conditions such as infection or oral cancer. A low-concern or reassuring result is not an all-clear and is not clearance to delay or skip professional care. When in doubt, see a dentist.
3. No verification or endorsement of dental professionals
The Service may present, list, or refer you to dentists, dental offices, or other dental professionals ("Dental Professionals"). You acknowledge and agree that miniDentist does not:
verify that any Dental Professional holds an active license, credential, certification, or registration required to practice;
verify any Dental Professional's disciplinary history or malpractice insurance; or
recommend or endorse any Dental Professional, or make any representation or warranty about the quality of care they may provide.
Some Dental Professionals pay miniDentist a subscription fee to participate in or be referred through the Service. We do not guarantee the availability of any Dental Professional and are not liable for cancelled or unfulfilled appointments, or for any injury or loss arising from your interaction with any Dental Professional. We encourage you to independently confirm any Dental Professional's credentials, licensure, and insurance with your state dental board and the appropriate licensing authorities.
4. Eligibility
The Service is intended for adults. You must be at least 18 years old to agree to these Terms and use the Service, and the Service is not intended for anyone under 18. By using the Service you confirm you are 18 or older.
5. Your information and your PDF
The screening tool does not require you to enter personal information on the site. Any contact fields on your PDF result are fillable only after you download the PDF, on your own device, and are completed and shared by you at your discretion. You are responsible for what you choose to share and with whom.
If you choose to type a free-text description at any point (for example, to describe your concern, add detail, or request an AI-generated response), that text is sent to a third-party artificial-intelligence provider to generate the response. Do not include personal or identifying information in these boxes. See our Privacy Policy for details.
Dental offices. If you are a dental office and submit our office contact form, you do so voluntarily. That form is separate from the screening tool, its message box is not sent to an AI provider, and the information you provide is handled as described in our Privacy Policy. Please do not include any patient information in the form. Submitting the form is an inquiry only and does not create any subscription, contract, or obligation between you and miniDentist unless and until separately agreed in writing.
6. Electronic communications
If you contact us or provide an email address, you consent to receive communications from us electronically (for example, by email or by notices posted on the Service), and you agree that such electronic communications satisfy any legal requirement that a communication be in writing.
7. Acceptable use
You agree not to:
Use the Service for any unlawful purpose;
Copy, reproduce, scrape, reverse-engineer, or redistribute the decision tree, questions, recommendations, or other content of the Service;
Use any robot, data-mining, or automated extraction method on the Service;
Attempt to interfere with, damage, or gain unauthorized access to the Service;
Misrepresent the Service's output as a professional diagnosis.
8. Intellectual property
The Service, including its decision-tree logic, questions, recommendations, screening methodology, text, design, and the miniDentist name and logo (the "miniDentist Content"), is owned by miniDentist's licensor and is used by miniDentist Inc. under license. The miniDentist Content is protected by copyright, trademark, and other laws. You are granted a limited, personal, non-transferable, non-sublicensable right to use the Service for its intended, non-commercial purpose. All other rights are reserved by the owner and by miniDentist Inc. This license is revocable at any time.
9. Feedback
Any questions, comments, suggestions, or ideas you send us about the Service ("Feedback") are non-confidential and become the property of miniDentist Inc. We may use Feedback for any purpose without acknowledgment or compensation to you.
10. Third-party services and links
The Service may use third-party services (for example, artificial-intelligence processing and analytics) and may link to dental offices or other websites. We are not responsible for third-party services or websites or their content, and linking does not imply endorsement. Your use of any third-party website is at your own risk.
11. Disclaimer of warranties
The Service and its content are provided "as is," "as available," and "with all faults," without warranties of any kind, express or implied, including but not limited to accuracy, merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that the Service will be uninterrupted, error-free, secure, or that any result is correct or complete. You acknowledge that your use of the Service is at your sole risk. Some jurisdictions do not allow certain warranty disclaimers, so parts of this section may not apply to you.
12. Arbitration and class-action waiver
Please read this section carefully — it affects your legal rights.
You and miniDentist agree that any dispute, claim, or controversy arising out of or relating to these Terms or the Service will be resolved by binding individual arbitration under the rules of the American Arbitration Association governing consumer disputes, rather than in court, except that either party may bring an individual claim in small-claims court.
Arbitration uses a single neutral arbitrator instead of a judge or jury, allows more limited discovery than a court case, and is subject to very limited review. The U.S. Federal Arbitration Act governs the interpretation and enforcement of this section. You and miniDentist each waive the right to a trial by jury and the right to participate in a class or representative action. The arbitrator may not consolidate more than one person's claims. If this class-action waiver is found unenforceable, this entire arbitration section is void. This section survives termination of these Terms.
13. Limitation of liability; waiver
To the fullest extent permitted by law, miniDentist Inc. and its owners, employees, and partners will not be liable for any indirect, incidental, consequential, special, or punitive damages (including loss of data, revenue, or profits), or for any health outcome, arising out of or related to your use of or reliance on the Service.
To the fullest extent permitted by law, miniDentist's total aggregate liability arising out of or related to the Service will not exceed the greater of (a) the total amount you paid to miniDentist, if any, in the ninety (90) days before the event giving rise to the claim, or (b) one hundred U.S. dollars ($100).
If you are a California resident, you waive California Civil Code §1542, which states: "A general release does not extend to claims that the creditor or releasing party does not know or suspect to exist in his or her favor at the time of executing the release, and that, if known by him or her, would have materially affected his or her settlement with the debtor or released party."
14. Indemnification
You agree to indemnify and hold miniDentist Inc. harmless from any claims, losses, liabilities, and expenses (including reasonable attorneys' fees) arising out of your use or misuse of the Service or your violation of these Terms or the rights of any third party.
15. International use
The Service is hosted in the United States. If you access it from outside the U.S., you understand that any information you provide may be transferred to and processed in the United States, and you consent to that transfer.
16. Changes to the Service and these Terms
We may modify or discontinue the Service, and we may update these Terms, at any time. The "Last updated" date shows when these Terms last changed. Continued use after changes means you accept the updated Terms.
17. Governing law and forum
These Terms are governed by the laws of the State of Arizona, U.S.A., without regard to conflict-of-law rules. Except for claims subject to arbitration under Section 12, the exclusive forum for any dispute relating to these Terms is the state and federal courts located in Phoenix, Arizona, and you consent to the personal jurisdiction of those courts.
18. General
If any provision of these Terms is held invalid or unenforceable, that provision will be severed and the remaining provisions will remain in full force and effect.
These Terms are the entire agreement between you and miniDentist Inc. regarding the Service and supersede any prior understandings. miniDentist may assign or transfer these Terms, for example in connection with a sale of the business; you may not assign them without our prior written consent. Our failure to enforce any provision is not a waiver of that provision.
19. Copyright infringement (DMCA)
If you believe content on the Service infringes your copyright, please send our designated agent a written notice including: (a) your physical or electronic signature; (b) identification of the copyrighted work; (c) identification of the allegedly infringing material and its location on the Service; (d) your address, telephone number, and email; (e) a statement that you have a good-faith belief the use is not authorized; and (f) a statement, under penalty of perjury, that the information is accurate and that you are authorized to act on the owner's behalf.
